Privacy Policy & Application Information

These tools are internal applications used exclusively by authorized Wikibusines team members. They are not available to the general public.

About Our Tools

Wikibusines is a content and consulting agency. We maintain two internal tools that help our team automate document generation for client engagements:

ContractBot

Generates service agreements, contract addendums, and supplementary agreements for our client projects.

InvoiceBot

Generates invoices and financial documents related to our consulting and content services.

Both tools operate as Telegram bots accessible only to pre-approved team members. Generated documents are stored in the company Google Drive workspace.

Privacy Policy

This privacy policy describes how Wikibusines ("we", "us", "our") collects, uses, and protects information in connection with our internal document-generation tools ("the Tools").

1. Scope

This policy applies to ContractBot and InvoiceBot, internal tools operated by Wikibusines for its own team members. These tools are not public-facing applications and are restricted to a small number of authorized users within our organization (approximately 10 people).

2. Google API Services Usage

The Tools connect to Google API Services solely for the following purposes:

  • Google Drive API — to create and store generated document files (.docx) in designated company Drive folders, and to manage sharing permissions for those files within the organization.

The Tools' use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

3. Data We Access

When you authorize the Tools via Google OAuth, we access only:

  • Your Google account email address (for authentication and to identify the authorized user).
  • Permission to create files in Google Drive.
  • Permission to manage sharing settings on files created by the Tools.

We do not access, read, modify, or delete any pre-existing files in your Google Drive. The Tools only interact with documents they have created.

4. How We Use Your Data

Information obtained through Google API Services is used exclusively to:

  • Authenticate authorized team members.
  • Upload generated contract and invoice documents to the company Google Drive.
  • Set appropriate sharing permissions on generated documents.

We do not use Google user data for advertising, profiling, or any purpose unrelated to the core functionality described above.

5. Data Storage and Retention

  • OAuth tokens are stored securely on our server and are used only to authenticate API requests. Tokens are refreshed automatically and revoked when access is no longer needed.
  • Generated documents are stored in Google Drive and on our server temporarily (up to 30 days) for operational purposes, after which local copies are automatically deleted.
  • User identifiers (Telegram user IDs and Google email addresses) are stored in application configuration to enforce access control. No additional personal data is collected or stored.

6. Data Sharing with Third Parties

We do not sell, rent, trade, or otherwise share any user data with third parties. Data accessed through Google API Services is used solely within our organization for the purposes described in this policy.

The only external services involved in data processing are:

  • Google Drive API — for document storage (governed by Google's own privacy policy).
  • Anthropic Claude API — for document text generation. Only the document parameters entered by the user are sent to this service; no Google account data is transmitted.

7. Data Security

We implement appropriate technical and organizational measures to protect data, including:

  • Access restricted to pre-approved user IDs.
  • OAuth tokens stored server-side with restricted file permissions.
  • All communications over encrypted channels (HTTPS, TLS).
  • Server hosted on Hetzner infrastructure within the EU.

8. Your Rights (GDPR)

If you are located in the European Economic Area, you have the following rights regarding your personal data:

  • Right of access — request a copy of the data we hold about you.
  • Right to rectification — request correction of inaccurate data.
  • Right to erasure — request deletion of your data.
  • Right to restrict processing — request limitation of how we use your data.
  • Right to data portability — receive your data in a structured format.
  • Right to object — object to processing of your data.

9. Revoking Access

You can revoke the Tools' access to your Google account at any time by visiting your Google Account Permissions page and removing access for "Wikibusines Internal Tools". Upon revocation, the Tools will no longer be able to access your Google Drive or account information.

10. Changes to This Policy

We may update this privacy policy from time to time. Any changes will be reflected on this page with an updated "Last updated" date. As this is an internal tool, authorized users will be notified directly of any material changes.
